How owner email works

What VoteStead sends

VoteStead sends email only about an election your association hired us to run. Every message belongs to that election:

• Your ballot invitation when voting opens
• Reminders before the deadline, only while your unit has not voted
• A thank-you after you vote, with how to check your ballot was counted
• Sign-in codes you ask for when you open your ballot

When the election closes, the email stops. There is no newsletter and no ongoing mailing list.

Where addresses come from

Your association gives VoteStead its owner roster, the record of who owns each unit. Associations must give every owner notice of meetings and elections, and many state laws let them do it by email. VoteStead delivers that notice for the association.

VoteStead does not buy, rent or collect email addresses. It uses a roster only for that association's own elections, and never shares it with anyone else.

Switch to mailed notices

Every invitation and reminder ends with a link: Switch to mailed notices. Click it, confirm, and VoteStead stops sending election email to that address. Many email apps also show an Unsubscribe button next to the sender that does the same thing.

Switching does not take away your vote. Your unit moves to your association's mailed notice list, and your next notice arrives by mail with an access code. You vote at votestead.com with that code, or ask your association for a paper ballot.

Bounces and spam reports

If an email to your address bounces because the mailbox does not exist, or if you mark an election email as spam, VoteStead stops emailing that address right away. Your unit moves to the mailed notice list so you still receive notice of the vote. Your association sees the change on its Print and mail page and can correct the address.

What VoteStead never does

• Send marketing to owners from a ballot roster
• Add tracking pixels or rewrite links in election email, so every ballot link points straight at votestead.com
• Keep emailing an address that bounced or reported spam
